Keeping Our Newsletters Out of Your Junkmail Folder


It is not uncommon for email newsletters like ours to get marked as junk mail (AKA spam, bulk mail) by the various filtering systems found in people's email software or that of their Internet providers. If you are finding our newsletter in your spam trap, and you do not already know how to remedy the issue, this page attempts to help you adjust your spam filtering settings to insure the newsletter ends up in your Inbox.

Please note that there are so many different ways people receive email and possible ways they can be adjusted, that it is impossible for us to ensure our notices never get marked as spam, or to be sure that any of the remedies on this page will work. If this page doesn't help you, please consult with someone knowledgeable who can examine your own computer's settings and make suggestions. In general, the easiest way to keep our Notices out of your Junkmail folder is to add our addresses "notices [at] soitoronto [dot] org" and "listmaster [at] soitoronto [dot] org" to your address book.

If you use one of the following email service providers or software applications, click on its name for specific instructions:

If you don't use any of these, or you've made the suggested changes and are still having our notices get marked as junk mail, the source of the filtering might be either your Internet service provider or your specific email or spam-filtering software. Note that the two ways to typically indicate a particular email sender should not be marked as spam is either to add our addresses "notices [at] soitoronto [dot] org" and "listmaster [at] soitoronto [dot] org" to a specific list of "not spam" senders, or to add our addresses to your email software's address book.

Internet Service Provider (ISP) Filtering

Some email providers filter messages based on content, subject line, or the sender's address and may put your email into the a bulk or junk mail folder. Your ISP should have informed you how to login to their email settings Web page, where you can adjust the spam filter settings (for instance, Rogers or Sympatico). Please make sure "notices [at] soitoronto [dot] org" and "listmaster [at] soitoronto [dot] org" are on your "whitelist" or "safe senders" or "approved senders" list or in your address book.

Spam Blockers/Filters and Email Software

If you have recently installed new email software to help defeat spam, make sure you check the settings. The default settings are often much more restrictive than you might wish. Please see your software's documentation for instructions for adjusting the default spam filter or adding our addresses "notices [at] soitoronto [dot] org" and "listmaster [at] soitoronto [dot] org" to your "whitelist" or "safe senders" or "approved senders" list or in your address book.


 

Changing the Settings for Some Specific Email Providers or Software Applications

 

MS-OutlookOutlook 2003 Users

  1. Select "Actions" from the top menu bar, then select "Junk email" followed by "Junk email Options."
  2. Select "Safe Senders," then "Add."
  3. Type "notices [at] soitoronto [dot] org" (without the double quotes around it) and click "OK."
  4. Use "Add" again to add "listmaster [at] soitoronto [dot] org" also.
  5. Click "OK."

 

yahooYahoo! Mail Users

Please check your "Bulk Mail" folder. If you find our email there, select the message and click "Not Spam." This will help future messages to get through. To add us to your address book:

  1. In the left-side navigation area, click on the "Add" link just to the right of "Contacts."
  2. Enter the first name "SOI Toronto" and last name "Notices" and the following address for email:
        notices [at] soitoronto [dot] org
  3. Click "Save"
  4. Use "Add" again to add the same first/last name, but use
        listmaster [at] soitoronto [dot] org
    as the email address, and then click "Save" and "OK."

 

gmailGmail (Google mail) Users

Please check your "Spam" folder. If you find our email there, select the message and click "Not Spam." This will help future messages to get through. To add us to your address book:

  1. In the left-hand navigation menu, click on "Contacts."
  2. Just above "My Contacts," click on the New Contact "New Contact" icon.
  3. Enter "SOI Toronto Notices" as the Name and for email add our address:
      notices [at] soitoronto [dot] org
  4. Click on "Save."
  5. Use "New Contact" again to add another address:
      listmaster [at] soitoronto [dot] org
    and then "Save" it.

 

hotmailHotmail (Windows Live Hotmail) Users

Please check your "Junk email" folder. If you find our email there, select the confirmation message and click "Not Junk." This will help future messages to get through. To avoid accidentally filtering our future messages:

  1. Click "Mail," then "Options" (next to the Help link)
  2. Click "Junk email Protection"
  3. Click "Safe List"
  4. Enter this address: notices [at] soitoronto [dot] org
  5. Click "Add"
  6. Add another "Safe List" address: listmaster [at] soitoronto [dot] org

 

AOLAOL Mail Users

Please check your "Spam" folder. If you find our email there, select the confirmation message and click "This is Not Spam." This will help future messages to get through. To avoid accidentally filtering our future messages:

  1. Click "Mail" in the toolbar at the top of your AOL window
  2. Select "Block Unwanted Mail"
  3. Click "Custom Sender List"
  4. Select "Allow only the senders and domains listed below"
  5. Enter this address: notices [at] soitoronto [dot] org
  6. And also enter this address: listmaster [at] soitoronto [dot] org
  7. Click "Save"

 

SpamKillerMcAfee SpamKiller

SpamKiller works along with Outlook, Outlook Express, Outlook 98, MSN/Hotmail, and POP3 accounts to block UCE unsolicited commercial e-mail before it arrives in your inbox. To make sure your SOI Toronto Notices email passes through you need to add us to your Personal Friends list, or Global Friends List. Here's how:

  1. Click the "Friends" tab
  2. Click "Email Address" or "Domains" tabs as indicated below to add us to your list
  3. Click "Email Address" tab.
  4. Click the Down Arrow to view your "Personal Friends List"
  5. Along the Right Side choose "Add A Friend"
  6. In the Address box, enter the addresses below:
       notices [at] soitoronto [dot] org
    and name it "SOI Toronto Notices" and choose "Single e-mail address" as the type, Click "Add"
  7. Use "Add a Friend" again, with the name "SOI Toronto Notices 2" and the address:
       listmaster [at] soitoronto [dot] org
  8. Click "Domains" tab.
  9. In the Address box, enter the addresses below:
       soitoronto.org
    and name it "SOI Toronto Notices" choose "all users at domain"' as the type, and Click "Add"
  10. Click on 'Save'

 

SymantecSymantec Anti-Spam

AntiSpam works along with Outlook, Outlook Express, Netscape and Yahoo (POP3), MSN/Hotmail to block UCE unsolicited commercial e-mail before it arrives in your inbox. To make sure your SOI Toronto Notices email passes through you need to add us to your Personal Friends list, or Global Friends List. Here's how:

  1. Start up Norton AntiSpam, Click the "Status & Settings" tab
  2. Click "AntiSpam" (middle of the screen).
  3. Click Yellow "Configure" Button (bottom right of screen).
  4. Click "Allowed List" tab (the 2nd Tab on the list of tabs).
  5. Click "Add" button (lower left).
  6. In the "Email Address" box, enter the addresses below (use "SOI Toronto Notices" in the "Name" field):
       notices [at] soitoronto [dot] org
    Click "OK"
  7. Click "Add" again, and this time add the address:
       listmaster [at] soitoronto [dot] org
  8. Click on OK (bottom of screen).

 

SympaticoSympatico (Bell) Email

  1. Go to the Sympatico email Web page (http://mailsignin.sympatico.ca/). If that Web page doesn't seem to be working, try this one instead.
  2. Sign in using your Sympatico email address and email password. Enter these, then clck "Sign in."
  3. Click on "Contacts" in the upper navigation bar.
  4. Click "New" in the upper left area of the screen.
  5. Enter the first name "SOI Toronto" and last name "Notices" (in the area toward the left) and the following address for "Email, Personal" (in the area toward the right):
      notices [at] soitoronto [dot] org
  6. Click "Save" in the navigation bar toward the upper left part of the page.
  7. Use "New" again to add "Notices 2" with the address:
      listmaster [at] soitoronto [dot] org

 

Rogers-YahooRogers (Rogers/Yahoo!) Email

  1. Go to the Rogers email login Web page (http://rogers.yahoo.com/).
  2. Sign in using your Rogers email address and your email password.
  3. Click "Mail" (it's in the "Personal Assistant" section, toward the upper left).
  4. In the left-side navigation area, click on the "Add" link just to the right of "Contacts."
  5. Enter the first name "SOI Toronto" and last name "Notices" and the following address for email:
      notices [at] soitoronto [dot] org
  6. Click "Save" and then "Add" again, to also add "Notices 2" with the address:
      listmaster [at] soitoronto [dot] org
  7. Click "Save" and then "OK."
